1. The tariff is for the use of the lawns for the agreed period only (For 12 hours from setup to clearance). The hirer/organizer shall bear all expenses viz., electricity, generator, diesel, furniture, helpers, cleaners etc. 2. You may select One vegetarian dish Rs. 50/- and One Non-vegetarian dish Rs. 75/- extra 3. All charges will carry GST 5% and will be as per the norms on the date of billing 4 Live Counters: Extra Charge Rs. 150/- per counter (Chat counters 2 varieties) ( DOSA 2 varieties/NOODLES 2 varieties(noodles/ rice)/PASTA 2 varieties/JELABI ) 5. Party bookings will be considered & confirmed upon payment of 100% of the total payment 6. The billing will be on actuals or minimium guaranteed persons as agreed. Children will be charged same as adult and left over food will be not packed 7. Beyond guaranteed persons, kindly allow 30 minutes to serve and extra guests. This will be charged at Rs. 25/- per person extra over and above the buffet rate. 8. Buffet & BAR closes at 22.30 hrs. and outside food & Beverages are not allowed strictly. 10. Soda, Soft Drinks, Mineral Water, Juices as per actual consumption will be charged 11. Decoration & stage/DJ/Generator with diesel/chairs/round tables/lighting/music & sound will be charged extra. 12. For generator with diesel Rs. 20,000 will be charged for 7 hours only. 13. Basic setup will be provide by HPRC. Anything surplus would need to be arranged by the Guest 14. Acquiring the PPL/NOVEX/IPRS LICENSE for the Event is required to be taken by the guest, if required. 15. All Starters are served for 90 minutes only. 16. Damages, if any shall be charged extra and to be borne by the hirer/organizer. 17 Booking of the venue will be confirmed only when i) Hire charges in full is paid and ii) necessary permissions (if required) from the Police (Law & Order and Traffic), Excise Department etc., are obtained and produced. 18. Cooking, if necessary, to be done only at the specified areas. 19. The premises required to be kept neat and clean. HPRC does not entertain usage of plastic. 20. No fireworks shall be entertained as there is livestock all over HPRC. 21. Modifications to the existing ambiance is strictly prohibited. Erection of Shamianas/Pandals and decoration can be carried out strictly with prior permission. 22. Political, religious meetings and banners are not permitted. The HPRC has the right to stop any activity if noticed contrary to this. 23. The plantations/trees in the premises shall not be damaged or destroyed. 24. Display of any kind of products as part of product or brand promotion will not be permitted in any form (flex, banners or any other kind). However these will be allowed on additional charges with prior permission. 25. Usage of Music system (45 decibels) will be allowed up to 10.00 pm with the prior permission of the ACP of the concerned region as per Supreme Court's orders. Volume of the music should be confined only to the inside premises. 26. The event manager/organizer has to get the prior approval of the layout of the utilization of area of the proposed activity from the HPRC authorities before the execution of any work. 27. The hirer/organizer is responsible for any loss/damage either to the animal, person or property, whether by his own fault or of his agent/event manager/contractor/guest engaged for the purpose in organizing the event and he is liable to all actions. The hirer/organizer will be liable to pay the actual costs involved. 28. The hirer/organizer has to get adequate garbage bins and ensure they are placed at the right areas. Clearing of the leftover material/food and cleaning of the premises shall have to be done soon after the event is over without any further delay by the hirer/organizer. Hirer/Organizer should take all precautionary measures for upkeep of the area keeping in view of the environment and pollution issues. 29. No Tandoor Bhatti and Ice etc., will be allowed on the lawns. They should be placed at the designated areas only. 30. Spitting and smoking anywhere in the HPRC premises is strictly prohibited. 31. Pets are not allowed inside the premises of HPRC. 32. The cars and the service vehicles will be allowed a couple of hours prior to the starting time of the event till two hours after the agreed ending time of the event; they shall be parked at the designated areas. 33. The HPRC authorities, its designated officer/s or its security personnel shall always have the access to the venue during the hire period to ensure smooth functioning of the event. 34. In the event of cancellations, deduction will be made as per the details mentioned below and the balance will be refunded. i) 25% of the Hire Charges prior to 10 days of the event. ii) 50% of the Hire Charges prior to 5 days of the event. iii) 75% of the Hire Charges prior to 2 day of the event. iv) 100% of the Hire Charges on the day or after the day of the event. 35. The hirer/organizer shall obtain all necessary permissions/NOCs from POLICE, Excise Department or any other concerned departments and produce them to HPRC officials atleast two days prior to the event. Please note that serving of liquor shall not be allowed without valid license. 36. In the event of violation of any of the rules mentioned above, the HPRC authorities have every right to cancel the allotment, even at the eleventh hour and black list the hirer/organizer or caterer from using the HPRC premises in future. The entire deposit amount will also be forfeited.
